Q & A - Verbiage for the Accommodation Card
QUESTION:
You said on your website:
“An Accommodation Card can be included to help your out-of-town guests figure out what hotel they should stay in while they are in town for your wedding. Some savvy couples work with local hotels to negotiate a group rate (reduced room rate for guests in their “group”). This group rate information should be included on the accommodation card.”
Can you give me an example of what exactly to say. I am horrible at making up formal sentences. Thank you so much.
Elizabeth
ANSWER:
Hi, Elizabeth~
An accommodation card needs to communicate the following information:
-Hotel name, address, phone
-Room rate
-Group name
-Reservation instructions
Typically, the wording is kept very simple, so the card might say:
A block of rooms have been reserved at the Anywhere Town USA Hilton at 111 SW Anywhere St, Tucson, AZ, 12345. A special rate of $100/night has been negotiated for our out-of-town guests. To reserve a room, call the Hilton at 800.555.1212 and mention you are with the John Doe group to obtain this special rate.
That’s about it!
In most cases, guests will likely be paying for their own hotel rooms. However, if you plan to pay for your guests hotel rooms, make sure to note that on the accommodation card (e.g. All guest rooms will be paid for by the bride and groom, but please call the hotel directly to confirm your room reservation).
I hope this answers your question, but if not, please do not hesitate to ask additional questions.
Congratulations on your wedding, and happy planning!
Best Wishes,
Eve-Maridy
